Waiver Management
Track waiver compliance for your club members. You can record waivers manually or connect a SmartWaiver account for automatic sync.
Configure Waiver Settings
Open Club Settings
Go to the Profile tab and tap Club Settings in the Club Information section.
Set your default waiver duration
Under Waiver Settings, set the Default Waiver Duration in months. This value is used when an admin manually marks a waiver as valid — the expiration date is calculated automatically from today. You can always override the date when marking an individual waiver.
Require waiver for RSVP (optional)
Enable the Require waiver for RSVP toggle if you want members to have a valid waiver on file before they can register for events. Members with a missing or expired waiver will see a non-dismissable banner on the events list directing them to get their waiver signed.
Tracking Waivers Manually
Open a member card
Go to the Members tab and tap on a member's card. You can see their current waiver status at the top of the card — either a green Waiver ✓ pill or a red No Waiver pill.
Mark the waiver as valid
Tap Mark Waiver Valid. A date picker will appear pre-filled with the expiration date based on your club's default waiver duration. Adjust the date if needed and confirm. The member's card will immediately update to show Waiver ✓.
Tip: An audit record is kept whenever a waiver is manually marked, including who recorded it and when. This is useful for compliance tracking.
SmartWaiver Integration
If your club uses SmartWaiver, you can connect your account to Va'a Sync. Once connected, signed waivers are synced automatically every 15 minutes — no manual entry required.
Get your SmartWaiver API key
Log in to your SmartWaiver account, go to Account > API, and copy your API key.
Enter the API key in Club Settings
In Va'a Sync, open Club Settings and scroll to the SmartWaiver Integration section. Paste your API key and tap Connect. Va'a Sync will verify the key and display your available waiver templates.
Select your waiver template
Choose the SmartWaiver template that your members sign. The template name will be displayed in the connected status area to confirm the right one is selected.
Automatic sync begins
Va'a Sync will sync signed waivers every 15 minutes. It matches waivers to members using a 4-tier process: automatic tag matching, email matching, name matching, and finally flagging unmatched waivers for admin review. When a match is found, the member's waiver status is updated automatically using the expiration date from SmartWaiver.
Check a single member's status
You can trigger an on-demand sync for one member by opening their card and tapping Check Status. This immediately queries SmartWaiver and updates the member's waiver status if a match is found.
Note: When SmartWaiver is connected, the waiver expiration date comes directly from SmartWaiver — your club's default waiver duration is not used for synced waivers.
